about the role

Texas Gulf Recycling is seeking a detail-oriented, highly dependable Accounts Receivable and Accounts Payable (AR/AP) Specialist to join our in-house team. This position is vital to the smooth operation of all financial processes across our family of companies: Texas Gulf Recycling (TGR), Texas Waste Control (TWC), and Texas Gulf (TG).

You’ll handle a broad range of responsibilities including invoice processing, collections, vendor account management, financial reporting, and day-to-day office operations. Role and Responsibilities

Accounts Receivable (AR)
  • Generate and distribute weekly aging reports for all companies.
  • Monitor and perform follow-ups on past-due accounts.
  • Send monthly AR statements to customers during the first week of each month.
  • Enter customer payments (check, online) and deposits into QuickBooks.
  • Match invoices and ARs from other platforms (like Docket) to QuickBooks entries.
  • Attach documentation such as tax exemption forms to customer profiles.
  • Reconcile external AR systems with QuickBooks to ensure consistency.
Accounts Payable (AP)
  • Create vendor accounts including complete profiles and W-9 attachments.
  • Enter and verify vendor bills in QuickBooks daily.
  • Request vendor statements to ensure complete financial entry.
  • Prepare reports to ensure timely payment and accurate tracking.
General Administrative Functions
  • Answer inbound calls for all companies, transfer, take messages, and follow up via Microsoft Teams.
  • Respond to customer and vendor emails using shared admin inboxes.
  • Maintain and order office supply inventory.
  • Assist with physical and digital document filing in QuickBooks and ShareFile.
  • Conduct research for office tools, vendors, or project resources as needed.
  • Support document creation, formatting, and review when requested.


Texas Gulf (TG) Specific Duties

  • Create and issue monthly rental invoices for tenants.
  • Receive and record tenant payments.
  • Maintain and update tenant contact details and lease profiles.
  • Schedule bi-annual fire inspections and upload repair receipts by property.
  • File and manage cottage lease agreements in QuickBooks.
  • Assist with U-Haul rentals, container bookings, and coordination with operations staff.

These are the baseline qualifications and skills every candidate must have:

1. Education & Experience

  • Minimum Associate’s degree or higher in Accounting, Finance, or Business is highly preferred.
  • 2–4 years of hands-on AR/AP experience, ideally in a high-volume or multi-entity environment.
  • Proven track record in invoice processing, collections, payments, and account reconciliation.

2. Core Accounting Knowledge

  • Strong grasp of GAAP principles.
  • Experience handling purchase orders, vendor contracts, and expense reports.

3. Technical Proficiency

  • Proficiency in Microsoft Office Suite, especially Excel (must know VLOOKUPs, pivot tables, formulas).
  • Experience with accounting software such as QuickBooks, SAP, Oracle, or NetSuite.

4. Attention to Detail & Accuracy

  • Able to handle high volumes of transactions with precision.
  • Demonstrated ability to meet deadlines and multitask efficiently.

5. Communication & Professionalism

  • Clear and courteous communicator (verbal and written).
  • Confident working with vendors, customers, and interdepartmental teams.
  • Problem-solver who can resolve discrepancies with tact and urgency.

6. Work Eligibility & Logistics

  • Must be legally authorized to work in the U.S.
  • Must have reliable daily transportation to commute to our rural Boling, TX office.


Optional / Preferred Requirements

These are not required but will set strong candidates apart:

1. Higher Education

  • Bachelor’s degree in Accounting, Finance, or related field.

2. Industry Experience

  • Background in waste management, logistics, manufacturing, or recycling.

3. ERP System Experience

  • Familiarity with ERP tools like SAP S/4HANA or Oracle Financials.
  • Experience working with automated AP/AR platforms or procurement systems.

4. Certifications

  • Certified Bookkeeper (CB), Certified Accounts Payable Professional (CAPP), or FPC.

5. Bilingual Ability

  • Spanish fluency is a plus for vendor and customer communication.

6. Soft Skills

  • Proactive, self-managed work style.
  • Ability to improve processes and streamline workflow.

Duties and Responsibilities

  • Strong and continuous focus on safety.
  • Participate in our daily safety meetings.
  • Frequently communicate on two-way radio to coordinate tasks.
  • Work alongside operators and other recycling workers to ensure timely maintenance of equipment and facilities.
  • Assist the scale house in managing and directing truck load disposals.

  • Prepare and secure trailers for hauler transport.
  • Manage waste and debris on access roadways leading into and throughout the facility.

This position requires an individual who is dependable, enjoys working with others, flexible to change, detail oriented and is knowledgeable in heavy equipment (i.e., Excavators, Skid Steers, and Wheel loaders). Any previous experience in waste management, gravel and aggregate, scrap metal or logistic industry is an extreme bonus.


Required Skills/ Experience:

  • 4+ years of experience working with diesel engines and/ or heavy equipment.
  • Able to demonstrate familiarity with hydraulic systems, diesel engine repairs, pneumatic and electrical systems.
  • In-depth knowledge of maintenance on hydraulic systems, excavators, skid steers, and wheel loaders.
  • Able to read and understand schematic diagrams.

ROLL OFF DRIVERS

Required Skills / Experience:

  • Two years of prior experience driving heavy trucks. Roll off Experience preferred.
  • Demonstrated mechanical aptitude to be able to do perform minor repairs to trucks containers. Drivers will be expected to do minor maintenance on their trucks.
  • Class A or B Commercial Driver’s license.
  • Minimum of 30 years of age.
  • Capable of passing a background and drug screening.
  • Good customer services skills to meet and exceed customer expectations; acts in a professional, courteous, and cooperative manner toward customers and co-workers; works with a sense     of honesty and trustworthiness.

Role Responsibilities

  • Perform & complete pre- and post-operation inspection of the assigned truck in accordance with TGR policy to ensure tire pressure, fluid levels, safety equipment, gauges, and controls are in proper working order. Report any safety issues on     standard reports.
  • Safely operate his or her heavy truck along designated route and to the disposal site; read route sheet, follow map and service each customer as identified on the route sheet or     as assigned by the dispatcher and/or supervisor.
  • Identify unsatisfactory waste containers and tag containers in accordance with applicable departmental procedures.
  • Continuously monitor the condition of the vehicle to ensure it is always operationally ready to minimize down time.
  • Complete required route/productivity sheets, VCRs and other reports, as required.
  • Follow all required safety policies and procedures.
  • Perform other job-related duties as assigned.

OBJECTIVES

  • Strong and continuous focus on safety.

  • Loader or skid operators keeps all waste and other debris pushed up in to organized piles, in order to be easily loaded into trailers or grinders.
  • Excavator operators are required to load waste and debris into trailers or grinders for further transport or processing.
  • Identify and sort specific commodities.
  • Log and record any maintenance or repairs made on equipment. While ensuring that all logs are keep current.
  • Routinely plan and schedule regular maintenance on all equipment.
  • Delegate task to our recycle workers, to effectively keep our facility within state regulated standards.
  • Ensure that all waste and debris have been loaded and removed from transfer station floors at the end of shift.
  • Conduct end of day meetings to discuss that days achievements and challenges. As well as what to expect in the following day.
  • Continuous collaboration with management to address equipment and process challenges.


COMPETENCIES

  • Exhibits a strong knowledge in safety and OSHA regulations.
  • Demonstrates a strong knowledge of equipment including but not limited to operation and maintenance.

EXPERIENCE & EDUCATION

  • Experience in the waste or recycling industry an extreme plus.


PHYSICAL REQUIREMENTS

  • Able to climb in and out of equipment, multiple times per day.
  • Able to lift 25lbs or more.
  • Capable of standing or sitting for long periods of time.
